Hotel & Venue Contracts

SweetPea will help find the perfect location for your event based on YOUR strategy, dates, agenda, and price target. We make recommendations, send RFP’s to multiple properties, utilize our strong relationships, and provide a report for your review.  After the venue has been narrowed down, we negotiate the best contract possible that protects your interests and work to get you the best rates and concessions, while adding important clauses to the contract to protect your interest.

A/V Production

Depending on your A/V needs, SweetPea will create an RFP, bring in an excellent A/V provider, and manage everything to ensure successful event production.

Food & Beverage

Your attendees will appreciate great food on site, but it also needs to fit into your budget.  We will track attendee dietary restrictions, make recommendations that fits your agenda & needs, and finalize the BEOs to maximize selections to stay in budget.

Sponsorships

Sponsorships are an incredibly important piece of most events and are often very necessary to offset the cost of hosting a meeting. Whether you want us to come in and develop the packages, design the prospectus, and sell to qualified partner companies, or simply manage the deliverables and sponsor communication, we excel at managing sponsorships and often increase revenue for our clients.

Speakers

Our team will manage your speakers, taking over all communication, needs on site, room reservations, collect presentations, or whatever else they need, ensuring a smooth experience.

Attendee Registration

Setup a quick and efficient registration page, manage discount codes, and assist with any registration issues. We’re here to provide solutions that work best for you and your attendees.

Room Blocks

We will coordinate between the venue and all your room block needs, tracking all staff, speaker, sponsor, VIP and general attendee needs, ensuring your room block is accurate and fits your needs!  In the case you need additional venue room blocks, we can source those too!

Vendors

Whether it's a killer A/V company, impactful stage furniture, security, or name tags, we will find and manage the best vendors to make your event a success.

Activities

Looking for a fun activity for your group away from the venue? We will find some great ideas and partners to bring some additional fun to your attendees.

On-Site Execution
